Summer office assitant position: Request for applications for 2013

The Sault Youth Soccer Club and League is accepting application for the following position.

1. Position Information
Position title: SYSCL Office Administrative Assistant
Position location: SYSCL office (316 Elizabeth, SSM P6A 6J3)
Hours of work: 10:00 a.m. – 5:00 p.m. Monday to Friday
July 5: 5:00 – 9:00 pm (at Strathclair)
July 6: 8:00 a.m. – 6:00 p.m. (at Strathclair)
July 7: 9:00 a.m. – 4:00 p.m. (at Strathclair)
Work period: May 1 - August 31
Supervisors: SYSCL Office Administrator
SYSCL Directors of Youth Girls and Boys Soccer
SYSCL Director at Large

2. Purpose of position
To assist SYSCL with:
a) referee scheduling for all mini-soccer, house league, and Civics in-town games, and
b) various administrative tasks required for club operation during outdoor season.

3. Duties / Responsibilities
A. Schedule referees for all mini-soccer games requiring referees, house league pre-draft games, house league regular season games, house league mid-season tournament and playoffs, Civics interlocking games and Civics 5x5 tournament games including:
   - collecting information on referee availability
   - coordinating referee assignments with SASA District Referee Coordinator (DRC)
   - assigning referees to games on an equitable basis using recommendations of SASA DRC
   - monitoring SYSCL referee e-mail account throughout the week (including weekends) to stay on top of assignment cancellations
   - finding replacement referees in cases of cancelled assignments
   - maintain records of cancelled assignments and provide regular updates to the SYSCL Executive and SASA DRC.
B. Answering phone enquiries coming to the SYSCL office as needed
C. Preparing information for referee payroll as needed
D. Bringing game sheets from Strathclair clubhouse to the SYSCL office as needed
E. Assisting SYSCL Office Administrator with various administrative tasks as needed: photocopying materials, packaging materials for mailing
F. Assisting SYSCL Equipment Manager and SYSCL Office Administrator with preparation of mini-soccer and house league uniforms for the outdoor season including:
   - unpacking uniform shipments and verifying their completeness
   - sorting uniforms by age group and gender
   - labelling bags with uniforms for screening of sponsorship information and loading bags in a trailer supplied by the silk-screening provider.
G. Assisting SYSCL Directors of Youth Boys and Youth Girls Soccer during house league mid-season tournament:
   - be present at Strathclair clubhouse in the evening of July 5 and during the day on July 6-7
   - collect game sheets from referees
   - update division standings
   - provide trophies and medals to division winners and runner-ups.

4. Skills and Knowledge
   - proficient knowledge of Excel and e-mail
   - excellent communication skills
   - good organization skills
   - ability to work both independently and under supervision
   - ability to work flexible hours
   - familiarity with basics of SYSCL operation and with SASA referees is an asset
   - valid driver’s license and access to a vehicle.

5. Additional selection criteria
Preference:
a) graduates of SYSCL, and
b) those who indicate that they are interested in doing this job for more than one year.
